Job Description

The International Rescue Committee (IRC) is hiring an Administrative Assistant responsible for office administration and supply chain support at their main office in Nairobi, Kenya.

Key Responsibilities:

  • – Utilities management and supply chain support
  • – Upholding IRC policies, mission, and vision
  • – Ensuring reception is manned and office cleanliness/organization
  • – Timely payment of utilities (water, electricity, telephones, couriers)
  • – Maintaining utilities tracking system
  • – Purchasing office drinking water
  • – Issuing gate passes for equipment/items leaving office
  • – Raising online purchase requisitions for admin department
  • – Supporting senior management team requests (travel, dependent school fees)
  • – Managing office consumables and stationery supplies with tracking
  • – Supporting IHUB office reception, couriers, calls, visitors
  • – Supervising and booking boardrooms for meetings, ensuring refreshments
  • – Supervising tender bid register
  • – Maintaining first aid box per OSHA guidelines
  • – Assisting other departments with meeting organization
  • – Liaison between suppliers and departments
  • – Assisting with onboarding and exit processes

Key Result Areas:

  • – Effective administrative and supply chain support
  • – Efficient day-to-day office operations

Requirements:

  • – Diploma in Business Administration, Management or related field
  • – 4+ years administration/management experience, preferably in NGO
  • – Customer service skills
  • – Excellent computer skills (Word, Excel, Access)
  • – Knowledge of administrative rules and regulations
