Summary of Responsibilities:

The HR Assistant will support the field HR Office in HR administrative tasks, ensuring the smooth running of the office.

Key Tasks:

Talent Acquisition:

  • – Support the recruiter for the field office with recruitment processes.
  • – Post vacancies in internal and external media as appropriate.
  • – Contact candidates for interviews.
  • – Provide the panel with interview packs.
  • – Contact referees post-interview to support appointments.
  • – Send regret letters to unsuccessful candidates.
  • – Maintain updated recruitment files for each position recruited.

Talent Management:

  • – Ensure all staff requirements prior to arrival are met.
  • – Enroll new staff onto the payroll and employee benefits schemes with appropriate documentation.
  • – Maintain staff files with requisite documentation.
  • – Monitor the induction process, ensuring performance objectives are set, and post-probation evaluation reviews are submitted timely.

Contract Management:

  • – Monitor the expiry of staff contracts and advise the HR Officer promptly.
  • – Assist in preparing contracts/Letters of Understanding for new or renewing Kakuma Incentive staff.

Services and Administration:

  • – Maintain detailed knowledge of IRC personnel policies and assist in ensuring employee adherence.
  • – Keep up-to-date records for all field staff related to personnel files, recruitment, leave, training, performance management, benefits, payroll, and exit processes.
  • – Archive personnel files promptly.
  • – Ensure timely submission of monthly timesheets.
  • – Support localized incentive/refugee recruitments.
  • – Prepare incentive/refugee staff payroll before review by the HR Officer.
  • – Maintain stationery supplies for the HR Office.


  • – Support the maintenance of all talent acquisition and management processes on the Workday HRIS management system.


  • – Provide weekly/monthly reports to the HR Officer on the status of personnel files, leave, training, performance management, benefits, and payroll.

Staff Training and Development:

  • – Facilitate all requests for staff training as approved in the Annual Learning & Development Plan and maintain a database of trainings attended.

Separation Process:

  • – Coordinate the exit process and ensure finalization of all procedures within one month.
  • – Ensure timely deletion of staff from insurance benefits.

Minimum Qualifications:

  • – At least 2 years of experience working in a busy HR department.
  • – Degree or Diploma in Human Resource, Business Administration, Business Management, or related field.
  • – Strong interpersonal skills, flexibility, and teamwork capabilities.
  • – Excellent writing and organizational skills.
  • – Experience working in a multi-cultural environment.
  • – Proficiency in word processing, spreadsheets, and email applications.
