Legal Clerk – Kenindia

The Legal Clerk is responsible for handling mail management and dispatch to ensure a smooth flow of work processes within the office, in line with Kenindia’s business objectives.

Key Responsibilities:

  1. Receipt and registration of all new claims received in the IT system and maintain a register thereof.
  2. Receive all incoming mail, collate documents in order of priority, and offer assistance to the legal officer handling branches for an efficient and speedy response to mail.
  3. Receive all incoming judgment advice and record in the judgment register for tracking to ensure timely attendance.
  4. Handle machine maintenance, departmental stationery requisition, and monitor the use thereof.
  5. Collect EFT payment advices from accounts, prepare forwarding letters, and ensure immediate dispatch; maintain a cheque/EFT dispatch register.
  6. Dispatch letters, cheques/EFTs, and summons to the correct persons within the given timeline.
  7. Reconcile and pay investigators and doctors’ fees within the given timelines.
  8. Undertake typing work within the timelines given.
  9. Manage mail, connect all incoming mail to the relevant file, and give to the legal officer for action.
  10. Ensure customer service to both internal and external clients by providing the required timely dispatch of letters, cheques, and claim files.
  11. Receive excess cheques.
  12. Handle the switchboard, receive and dispatch calls, maintain telephone lines, and manage the PABX system.

  • Prompt payment and dispatch of cheques
  • Effective mail management
  • Clean offices, well-maintained printers, and proper stationery management

Job Requirements:

  • – O-Level education
  • – Para-legal qualification
  • – Certificate in business management practice (added advantage)
  • – At least 2 years of relevant experience
  • – Accuracy, coordination, time management, and multi-tasking skills
  • – Strong communication, interpersonal, customer service, and IT skills
  • – Demonstrates integrity, reliability, transparency, professionalism, teamwork, and quality
