Job Overview:

As an Office Assistant II, you will play a crucial role in maintaining a clean, organized, and efficient office environment. This entry and training grade position offers an excellent opportunity to learn and grow within a large-scale organization while contributing to its day-to-day operations.

Key Responsibilities:

1. Office Cleanliness and Maintenance:

  • – Perform regular sweeping, dusting, and vacuuming tasks to ensure a clean and hygienic workplace
  • – Assist in maintaining overall office cleanliness and tidiness
  • – Report any maintenance issues or repair needs to the appropriate supervisor

2. Office Security:

  • – Maintain safe custody of office keys during working hours
  • – Ensure proper locking and unlocking of offices at the beginning and end of each workday
  • – Report any security concerns or suspicious activities to the relevant authorities

3. Document and Mail Management:

  • – Deliver files and documents to designated offices within the organization
  • – Assist in sorting and distributing incoming mail and messages
  • – Handle outgoing mail and ensure timely delivery

4. Office Supplies Management:

  • – Furnish staff with office supplies as instructed by supervisors
  • – Help maintain inventory of office supplies and report when restocking is needed

5. General Office Support:

  • – Assist in setting up meeting rooms and preparing for office events
  • – Provide basic information to visitors and direct them to appropriate departments
  • – Perform other office-related tasks as assigned by supervisors

6. Continuous Learning and Development:

  • – Participate in relevant training programs to enhance skills and knowledge
  • – Stay updated on office procedures and NSSF policies

Requirements for Appointment:

1. Educational Qualifications:

  • – KCSE D- (minus) or its equivalent

2. Technical Skills:

  • – Proficiency in basic computer applications
  • – Familiarity with office equipment such as printers, copiers, and scanners

3. Personal Attributes:

  • – Strong work ethic and reliability
  • – Excellent interpersonal and communication skills
  • – Ability to work independently and as part of a team
  • – Attention to detail and commitment to maintaining a clean and organized workspace
