BasiGo, an early-stage E-Mobility startup, is hiring a Procurement and Admin Officer to join their team in Kigali, Rwanda. This full-time role offers an exciting opportunity to contribute to the future of clean, electric, and digitally-powered public transport in sub-Saharan Africa.

Position Overview

The Procurement and Admin Officer will report to the Finance and Administration Manager and will be responsible for managing procurement processes, travel arrangements, and office administration for BasiGo Rwanda.

Key Responsibilities

Procurement Management

  • – Manage the complete procurement process from requisition to receipt, including sourcing vendors, obtaining quotes, and issuing purchase orders
  • – Negotiate contracts and agreements with vendors to ensure favorable terms and pricing
  • – Maintain accurate records of all procurement activities, including vendor information, purchase orders, and invoices
  • – Appraise, monitor, and track vendor performance, resolving any issues or discrepancies
  • – Assist in developing and implementing procurement policies and procedures while enforcing compliance
  • – Handle new vendor prequalification, KYC, and manage contracting and onboarding processes

Travel & Hospitality Coordination

  • – Coordinate with staff and guests to understand trip requirements, including destinations, dates, and specific needs
  • – Research and book cost-effective travel arrangements, including flights, hotels, and car rentals
  • – Administer travel management tools and corporate travel policies to ensure compliance and maximize savings
  • – Monitor flight schedules and proactively adjust itineraries as needed
  • – Provide timely assistance to travelers before, during, and after their trips

Office Administration

  • – Manage the BasiGo office to create a vibrant, clean, and motivating workplace with necessary tools and resources
  • – Oversee office supplies and inventory management
  • – Handle office assets management
  • – Coordinate office maintenance, repairs, facilities management, and IT support
  • – Monitor building systems and equipment to identify potential issues
  • – Conduct regular facility inspections to ensure cleanliness, safety, and regulatory compliance
  • – Manage administrative service providers at all BasiGo locations in Rwanda
  • – Support HR and ESG departments with emergency response plans and safety procedures
  • – Maintain accurate records of maintenance requests and work orders
  • – Prepare budgets and track expenses related to admin, travel, and facility operations

Candidate Requirements

Education & Experience

  • – Bachelor’s Degree in Finance, Accounting, or other business-related fields
  • – Minimum of 2 years experience working in a busy accounting and admin environment
  • – Strong understanding of accounting standards and principles, especially IFRS requirements
  • – Experience processing accounting transactions and posting
  • – Proficiency with spreadsheets and databases
  • – Knowledge of financial software, especially Odoo ERP, is a plus
