The International Rescue Committee (IRC) is seeking a highly skilled and motivated Regional Executive Support Manager to join their dynamic East & Central Africa Regional Teams based in Nairobi, Kenya. Position Overview:
The Regional Executive Support Manager (RESM) plays a vital role in supporting the East & Central Africa Regional Leadership Teams. This position requires exceptional organizational skills, diplomatic communication, and the ability to manage complex administrative tasks across multiple countries and cultures. The successful candidate will be a key player in ensuring seamless operations and high-level performance of the regional teams.
Key Responsibilities:
1. General Administration (60%):
- – Provide top-notch office management support to both East & Central Africa Regional teams
- – Manage diverse and complex office logistics, calendaring, and archiving systems
- – Organize and facilitate inter-departmental meetings, including agenda preparation, note-taking, and follow-up actions
- – Coordinate IT support and troubleshooting for senior leadership
- – Develop and maintain the region’s RescueNet intranet space
- – Handle daily communications, including calls, inquiries, and emails
- – Collaborate with finance teams on purchase requests and expense management
- – Track and coordinate Technical Advisor visits to country programs
2. Travel Support:
- – Arrange travel details, visas, and accommodations for regional team members and visitors
- – Coordinate onboarding processes for new regional team members
- – Represent IRC professionally in internal and external interactions
3. Event Planning and Delivery:
- – Develop and manage comprehensive regional calendars for internal and external events
- – Plan and execute regional conferences, workshops, and critical engagements
- – Ensure flawless logistics and stakeholder support for all regional events
- – Capture key takeaways and follow up on action items from events
4. Analysis Support (20%):
- – Collate information from various sources, including seminars, conferences, and desk research
- – Create data dashboards and reports to support Regional Senior Management Team decision-making
- – Conduct basic data analysis to inform regional strategies and operations
5. Communications (20%):
- – Provide high-level communication support to Regional Vice Presidents and Deputy Regional Directors
- – Manage and update internal and external contact lists
- – Produce polished written communications in English and French
- – Support the preparation of internal communications as requested by regional leadership
- Requirements:
- – Bachelor’s degree in Business Administration, International Relations, or a related field
- – 4-5 years of experience in a similar role, preferably in an INGO environment
- – Demonstrated ability to work effectively in a multicultural, fast-paced environment
- – Exceptional organizational skills and attention to detail
- – Strong communication skills, both written and verbal, in English and French (Swahili is a plus)
- – Proficiency in MS Office suite, including advanced skills in Excel and PowerPoint
- – Experience with data visualization and basic analysis techniques
- – Ability to maintain confidentiality and exercise discretion with sensitive information
- – Flexibility to adapt to changing priorities and work under pressure
