The United Nations Office for the Coordination of Humanitarian Affairs (OCHA) Sudan coordinates humanitarian actors to ensure coherent responses to complex emergencies and natural disasters. They work closely with the Sudanese Government’s Humanitarian Aid Commission (HAC) and other partners to facilitate effective humanitarian assistance delivery, promoting compliance with humanitarian principles.

Job Summary:

OCHA Sudan seeks a Protocol Associate to support their administrative and operational functions. Reporting to the Administrative/Finance Officer, the successful candidate will play a crucial role in achieving OCHA Sudan’s primary objectives.

Key Responsibilities:

1. Operational Strategy Implementation

  • – Ensure compliance with UN/OCHA administrative rules, regulations, policies, and strategies
  • – Contribute to administrative business processes mapping and SOPs implementation
  • – Prepare results-oriented administrative team work plans

2. Administrative Support

  • – Organize shipments, customs clearance, workshops, conferences, and retreats
  • – Handle protocol matters, staff registration, and local authority coordination
  • – Manage procurement processes for OCHA Sudan country offices
  • – Oversee office equipment maintenance and MORSS compliance

3. Travel Administration

  • – Coordinate travel arrangements for OCHA staff
  • – Act as travel administrator for national staff and focal point with UNSOS MOVCON and UNHAS
  • – Manage DSA, travel agencies, and administrative surveys
  • – Process visa requests and arrange hotel reservations for UNOCHA officials

4. Transport Services Management

  • – Coordinate transportation services, vehicle maintenance, and insurance
  • – Oversee fuel usage, vehicle logs, and history reports
  • – Manage accident reporting and investigation
  • – Supervise office drivers and prepare cost recovery data for private vehicle use

5. Common Services Support

  • – Maintain standard services and office space management
  • – Implement UN reform initiatives in common services

6. Knowledge Building and Sharing

  • – Train staff on administrative procedures
  • – Conduct briefings/debriefings on work-related issues
  • – Contribute to knowledge networks and communities of practice

Requirements:

Education:

  • – Secondary education with certification in administration, logistics, business, procurement, or related areas, plus 7 years of relevant experience; OR
  • – Bachelor’s degree in administration, logistics, business, procurement, or related field with 4 years of relevant experience (desirable)

Experience:

  • – 7 years (with secondary education) or 4 years (with Bachelor’s degree) of relevant experience in administration, logistics, and procurement with an international organization
  • – Knowledge of ERP systems
  • – Experience in international procurement
  • – UN Procurement Certification (CIPS Level 3 required, or to be obtained within one year; CIPS Level 2 required at recruitment)
  • – Proficiency in MS Office applications

Language:

  • – Fluency in written and oral English
  • – Knowledge of the national language of the duty station
  • – Working knowledge of other UN languages is desirable
