Senior Administrative Specialist

DHL Global Forwarding Kenya is seeking an experienced Senior Administrative Specialist to join their dynamic team in Nairobi. This key position involves providing comprehensive administrative support to the Country Management Teams and Human Resources department, playing a vital role in supporting the organization’s business objectives.

DHL Global Forwarding, Freight (DGFF) stands as the air, ocean, and road freight specialist of DHL Group, operating in over 220 countries worldwide since 1969. As a pioneer in cross-border express shipping, they deliver both standardized transport and specialized end-to-end solutions to diverse industries globally.

Key Responsibilities

Administrative Management

  • – Oversee comprehensive office administration and logistics support
  • – Manage travel arrangements including flight bookings, hotel reservations, and visa processing
  • – Handle work permits and support documentation for expatriate and local staff
  • – Supervise administrative and contractual staff to ensure seamless service delivery

Executive Support

  • – Maintain Cluster Head’s calendar and appointments
  • – Process expense claims and prepare professional presentations
  • – Coordinate complex travel plans, itineraries, and meeting arrangements

HR Operations

  • – Support end-to-end employee lifecycle management
  • – Assist with HR operations, learning and development initiatives
  • – Facilitate performance management processes
  • – Coordinate compensation and benefits activities
  • – Manage employee relations

Additional Duties

  • – Collaborate with Finance Team on payroll activities
  • – Maintain accurate employee data in HRIS systems
  • – Execute internal and external communications
  • – Prepare monthly newsletters and engagement reports
  • – Coordinate staff engagement initiatives and corporate events
  • – Ensure compliance with procurement policies
  • – Serve as primary point of contact for HR policy inquiries

Required Qualifications

Education and Experience

  • – Bachelor’s Degree in Human Resources or Business Administration
  • – 3-4 years’ experience as HR Officer, Office Administrator, or Executive Assistant
  • – IHRM membership (advantageous)

Technical Skills

  • – Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • – Strong financial acumen
  • – Excellent data management abilities
